For any business that runs on supplier paperwork

Know which suppliers are covered. And which are not.

Insurance lapses. Certificates expire. A supplier you cleared two years ago has been shipping against a document nobody has looked at since. DOSSA reads every supplier document with AI, checks it against the requirements you define, and tells you what is missing before it costs you — whether you buy produce, hire contractors, or manage buildings.

The collaboration problem

Your suppliers will not learn another portal. So we did not build one.

This is the part everyone else gets wrong. Supplier compliance software fails at the same place every time: the supplier. They already carry ten or twenty customer portals, each with its own account, password reset and dashboard — so the moment a portal feels optional, the paperwork goes back to email and your system quietly stops reflecting reality. An account is exactly what makes a portal optional. DOSSA sends a link instead. Your supplier opens it on their phone in a packing house or a site office, sees what they owe, drops the file, and is told in seconds whether it is usable. No account. No password. Nothing to learn. While other systems ask your suppliers to navigate their way to compliance, we removed the navigation.

  • A link, not an account — nothing to create, remember, or reset
  • Works on a phone, because that is where these documents actually live
  • One drop zone for everything: the supplier should not have to classify their own paperwork
  • An instant verdict — "this certificate expired in August" while the folder is still open, not three days later by email
  • Paste the link into your own email, WhatsApp, or an existing thread — chasing happens where it already happens

Intelligent ingestion

AI reads the document. A person still decides.

Upload a PDF, a photo of a certificate, a whole folder from your shared drive — DOSSA works out what each document is, which supplier it belongs to, and when it expires. Then it stops and asks you. The AI never invents a new kind of document to make something fit, and "verified" always means a named person accepted it on a date you can point to.

  • Reads certificates, audits, insurance, specifications and lab results — including photographed and scanned originals
  • Extracts the expiry date and tracks validity from that moment
  • Never creates a document type on its own — your catalogue stays yours
  • A failed read says so and offers a retry, instead of showing a spinner forever
Requirements

Requirements that match how you actually buy.

Define what you need once, at the level it applies: everybody, a group of suppliers, or one supplier. Then narrow it by what they supply, because an obligation usually belongs to a thing rather than to a company. DOSSA works out who owes what and keeps score.

  • Scope by supplier, supplier group, or everyone
  • Scope by product or product group where the obligation belongs to the thing supplied
  • Exemptions are a recorded decision with a reason, not a silent gap
  • A supplier nobody has written requirements for reads as unmeasured — never as compliant

The answer

One screen that tells you where you stand.

Not a folder you have to read. Compliance is computed from what is on file against what you asked for, and it moves on its own as documents expire. Approving a supplier is a decision a person makes; whether their paperwork is current is a fact the system keeps.

  • Every supplier, every requirement, current status — in one grid
  • Expiring-soon surfaces before the lapse, not after
  • A replaced certificate drops out of the queue, so the queue can reach zero
  • An approved supplier can be out of compliance — flagged, never silently 'fixed'
Connected to what you already run

Your ERP can ask before the purchase order goes out.

Send DOSSA your order lines and it maps them to suppliers and products — nothing is created until a person confirms it. Then your ERP can read compliance status back, so a purchase order can be stopped before it is raised rather than questioned after the goods arrive. DOSSA never connects to your system and holds no credentials of yours; the integration runs in your direction, on your schedule.

  • Order lines in, compliance verdicts out — two one-way streets
  • Nothing the feed sends becomes a supplier or product until somebody says it is
  • We hold no credential to your ERP and never write to it
  • A coverage figure tells you how much of your vendor list is actually being checked

Frequently asked questions

Do my suppliers need an account?

No — and that is deliberate. They receive a link, open it on any device, see what they owe, and upload. There is no account to create, no password to reset, and nothing to learn. Supplier adoption is where most compliance systems quietly fail, so we removed the thing suppliers refuse to do.

Is DOSSA only for food companies?

No. The document-requirements foundation is the product, and it works for any business that runs on supplier paperwork — property management, construction, staffing, franchising, manufacturing, cannabis. US food importers can add the FSVP module on top; everyone else never sees it.

What if the AI gets a document wrong?

Then a person corrects it, and that is by design. The AI proposes; a human verifies. It cannot invent a new document type to make something fit, and it cannot mark anything compliant on its own. Every verification records who accepted the document and when.

What file types can DOSSA read?

PDFs, images (photos and scans) and Office documents up to 25 MB each, including messy scans and photographs taken on a phone. Anything it cannot place lands in a review queue rather than disappearing.

How long does it take to get set up?

Point DOSSA at the folder where your supplier documents already live. It reads the tree, proposes which folder belongs to which supplier, and you confirm — then the AI reads the documents themselves in the background. Most of the work is answering questions about your own suppliers, not data entry.

Can it connect to our ERP?

Yes, in both directions. Your system pushes order lines to DOSSA so suppliers and products stay in step with what you actually buy, and it can read compliance status back so a purchase order can be blocked before it is raised. DOSSA never connects to your system and holds no credentials of yours.
